Administrative Assistant to the CMO

Silver Spring, MD - Full Time

Position Summary

The administrative assistant provides high-quality administrative support to the Chief Medical Officer (CMO).  The person in this role must maintain a professional appearance, decorum, and confidentiality always. This position will be a key support for the thirteen programs overseen by the CMO.   Will assist with compiling quality metrics and facilitating the preparation for site visits and audits.  

Key Functions & Responsibilities

  • Works directly with the Chief Medical (CMO) in performing a variety of clerical duties as requested. 

  • Serves as liaison and coordinator for the CMO with the current thirteen programmatic departments. 

  • Collaborates the cross-functional components with risk, quality, and operations.  

  • Tracks all required training assigned during onboarding to ensure each newly hired staff member has completed onboarding. Sends completed documentation of training to Human Resources.  

  • Supports the development and review of job descriptions for CMO departments and programs.  

  • Keeps the CMO informed of activities, potential threats, opportunities, and recommended actions.  

  • Responsible for supporting the CMO with effective and efficient fiscal management of clinicians and programs to ensure proper utilization of organizational and financial resources.  

  • Responsible for promoting and fostering an atmosphere of teamwork and excellence among staff.  

  • Composes and edits professional correspondence and reports without dictation. Maintains notetaking for various meetings to support the programs.  

  • Maintains the highest degree of accuracy, quality, and efficiency. 

  • Provides a high degree of judgment, discretion, and considerable knowledge of the organization, its policies, and staff, while maintaining confidentiality. 

  • Manages the calendar(s) for the CMO. 

  • Responsible for drafting, planning, and coordinating onboarding schedules for new medical providers and assigned staff by the CMO.  

  • Fields inquiries and builds effective working relationships with internal and external constituencies.  

  • Keeps abreast of general business objectives, policies, procedures, standards, services, facilities, and related information to maintain a comprehensive awareness of the organization. 

  • Serves on committees and teams as directed. 

  • Demonstrates an enthusiastic, welcoming, quick, and responsive attitude with all staff, patients, and visitors in person, on the phone, or electronically to help set a positive tone throughout CCI. 

  • Schedules and coordinates meetings and conference rooms for staff meetings as requested by the CMO. 

  • Co - Creates programs and projects to enhance provider skills, hardwire evidence-based practice, and improve patient outcomes.  

  • Positively supports the CMO with the vision and culture of CCI.  

  • Drives the use of technology to enhance integration with other departments and programs.  

  • Assists with the tracking of medical policies, protocols, and procedures.  

  • Other duties or responsibilities as assigned by the Chief Medical Officer. 

Required Skills and Abilities

  • Knowledgeable about medical billing practices, insurance coverage, and processes 

  • Knowledge of the structure and function of community health centers. 

  • Knowledge and experience with preparation and development of CMO presentation materials for various meetings internally and externally.  

Minimum Qualifications

  • Minimum 5 years supporting at the executive level; Associate degree preferred.
  • Demonstrated good judgment in prioritizing and managing complex demands and high levels of sensitive confidentiality issues. 
  • Strong communication, listening, interpersonal, oral and written communication skills. 
  • Detail oriented; organized planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility. 
  • Skilled at anticipating problems, creating contingency plans, managing multiple priorities, problem solving and organizing logistics.  
  • Ability to persuade and influence, establish personal credibility and trust, and foster collaborative working relationships. 
  • Ability to complete high volumes of tasks with minimal guidance or supervision and deadline sensitivity. 
  • Proficient in MS Office, including Word, Excel, PowerPoint, and Outlook. 
  • Professional and welcoming attitude.
